Officer Roles

The following outlines the responsibilities derived from our governance documents and those commonly assumed by our three village officers.

Chair

  • Preside over Village Assembly meetings
  • Make appointments to Special Committees
  • Chair the Coordinating Committee
  • Serve as point of contact for:
    • Elected officials and agencies at the county, state, and federal levels
    • The Ardencroft Association
    • Neighboring villages and schools
    • Outside parties
  • Direct issues to the appropriate officers and committees

Secretary

  • Manage papers and documents from Village Assembly proceedings
    • Record meeting attendance
    • Take and distribute meeting minutes, including vote outcomes
    • Maintain records of ordinances, resolutions, and policies in response to changes
  • Send notifications of regular and special Village Assembly meetings
  • Chair Village Assembly meetings in the Chair’s absence
  • Serve as Secretary of the Coordinating Committee

Treasurer

  • Provide financial information to support the Coordinating Committee’s annual budget proposal to the Village Assembly
  • Supply income and expenditure data for Finance Committee review; serve as an ex officio member
  • Update the Village Assembly on income and expenditures
  • Liaise with the village’s bank and monitor account balances
  • Write checks for reimbursements and invoices
  • Report spending to county, state, and federal agencies to ensure regulatory and grant compliance
